Privacy, in plain words.
What this website and the Apprailty software collect, where it is kept, who can see it, and how to ask about it. Last updated 14 October 2026.
Who we are
Apprailty is appraisal software for NSW real estate offices, at apprailty.com. In this policy “we” means the people who build and run it. You can reach us on WhatsApp +61 452 519 593 (Mon–Sat, 9:00–19:00 Sydney time).
This website
This website uses no cookies, no analytics, no advertising tags and no third-party scripts, and none of its pages sends a form to us.
The “Book a demo” page writes a WhatsApp message on your device. When you press “Open WhatsApp”, your browser hands that message to WhatsApp (Meta) to open the chat; it reaches us only if you press send there, and WhatsApp handles it under its own privacy policy. Once you send it, we keep the conversation to reply and arrange your walkthrough.
Like every website, the server that delivers these pages keeps standard request logs — the address that asked, the page, the browser and the time — for security and troubleshooting. They are not used for marketing and are not combined with anything else.
The software
An office that uses the software keeps in it what an appraisal needs:
- the people in the office — names, contact details, photos and sign-in details, and a record of each sign-in attempt (email, internet address, time and result), kept for security;
- the vendors and properties they appraise — names, addresses, contact details and the documents prepared for them;
- when a vendor opens a shared link: the time and browser of each opening;
- what a vendor writes on the “Let’s get started” page, such as a message or a good time to reach them;
- when a vendor signs an agency agreement: the signature, the name they type, any email they give, and the time, internet address and browser, printed on the signed copy as its record;
- property sales records, including public NSW Valuer General sales information.
How it is used
The office decides what goes into the software and is responsible for having its clients’ consent. We hold that information on the office’s behalf, and use it only to provide, support and secure the service for that office.
We do not sell it, use it for advertising, or share it with any other office.
Service providers
Some features pass a small part of an appraisal to a service provider, only when that feature is used:
- map and address lookup: the property address goes to the OpenStreetMap geocoding service, run by the OpenStreetMap Foundation in the United Kingdom;
- the optional AI writing and market tools: the text or address involved goes to the AI provider the office uses (OpenAI or Anthropic, in the United States);
- fetching a listing photo, where an office has switched it on: the address goes to Firecrawl, in the United States.
Where it is kept
The software runs on a server in Australia, with nightly database backups kept for 14 days, and occasional full copies kept off the server.
The people who build and support it may reach it from outside Australia to keep the service running, and backup copies may be held outside Australia. When that happens we take reasonable steps to protect the information in line with the Australian Privacy Principles.
Security
Every connection is encrypted. Each person in an office has their own sign-in, two-factor sign-in is available, and when someone leaves the office can remove their access — it stops working within a minute. An agent sees their own documents, the ones they are named on, and documents with no recorded owner; an office admin sees all of the office’s documents.
No system is perfectly secure. If a breach is likely to cause serious harm, we will tell the affected office straight away and, where the Privacy Act requires it, the people affected and the Office of the Australian Information Commissioner.
How long it is kept
For as long as the office uses the software. When an office stops, we arrange with the office for its information to be returned or deleted, except where the law requires us to keep it.
Seeing or correcting information
If an office holds information about you — as a vendor, for example — ask that office first: it controls the record and can correct it. You can also ask us, and we will help.
Questions and complaints
Tell us first, on WhatsApp +61 452 519 593 (Mon–Sat, 9:00–19:00 Sydney time). We will acknowledge a complaint within five business days and give you an answer within 30 days. If you are not satisfied with our answer, you can complain to the Office of the Australian Information Commissioner.
